Administrative Assistant (Westgate Correctional Facility)

Applications are invited for the post of Administrative Assistant in the Corrections Department. 

 

The successful applicant will be required to work under the supervision of the Chief Officer to provide administrative, secretarial/clerical support and general duties as they relate to the Chief Officer’s function and the effective efficient operations of the Correctional Facility to include inmate related matters.

 

Duties of the post include:

 

  • providing a wide range of administrative services for the Chief Officer in the discharge of the Chief’s duties (maintaining the appointment books and files; making entries in inmate records; answering general enquires on inmate records; recording and distributing mail;  screening calls);
  • typing all documents, correspondence and forms prepared by the Chief  Officer, Principal Officers and other officers; transcribing officer and inmate written reports;
  • maintaining an appropriate filing system; and
  • attending and recording the proceedings of staff committee and general meetings as appropriate.

 

The postholder must posses the Bermuda School Certificate (BSC) or equivalent and the completion of a General Secretarial course or equivalent (with typing at 60 w.p.m. and shorthand or speedwriting of 100/120 w.p.m.).  A minimum of two (2) years’ relevant experience in an administrative position is required. Applicants must be capable of operating PC equipment and be proficient in the word processing and database management including MS Office and File Maker Pro.

 

Applicants must be mature and capable of working with minimum supervision. Applicants should further be one who respects the attributes of confidentiality in an institutional setting, and be able to work alongside correctional officers and inmates.

 

Short listed candidates may be required to undertake a skills assessment test and will be required to pass an extensive medical examination and security vetting.
